How to create a pay rate and assign it to an employee

This guide explains how to:

  1. Check if the pay rate already exists

  2. Create a new pay rate (if needed)

  3. Assign the pay rate to an employee

Everything is explained in clear and simple steps.

 PART 1 – Check if the pay rate is available

1. Go to pay rates

From the main dashboard:
➡️ Staff
➡️ Pay Rates

You will now see a list of all existing pay rates.

If the pay rate you want is not listed, you need to create a new one.

 PART 2 – How to create a new pay rate

1. Click New Pay Rate

2. Fill in the fields

  • Pay rate name (e.g., Instructor, Substitute, Weekend rate)

  • Amount (hourly rate or fixed rate)

  • Any additional required fields

Click Save.

Your new pay rate is now ready to use.

PART 3 – Assign the pay rate to an employee

1. Go to the employee

➡️ Staff
➡️ Employees
➡️ Select the employee you want to update

2. Open the Pay tab

3. Click New Pay Rate

4. Select the pay rate you want to assign

5. Click Save

The pay rate is now successfully assigned to the employee.

✔️ Done — the employee now has the correct pay rate assigned.
